Big Red Barn Reservation Quick-Reference Checklist

Before submitting a reservation request, make sure your event meets the following requirements:

Eligibility

  • My event supports Cornell graduate and/or professional students.
  • If requesting space on a weekday, the event is sponsored by a graduate or professional student organization, department, or program.
  • If requesting a weekend reservation, I understand that approval depends on staffing and operational capacity.
  • If my event is primarily for undergraduates, it can only be scheduled on a weekend. 
  • If my event is for a conference, reception, alumni program, wedding, corporate event, and another external function, I will reach out to Student and Campus Life Enterprises (SCLE) for support.

Space and Scheduling

  • I am requesting only a portion of the Barn during weekdays (the entire building is not available on weekdays).
  • My event falls within approved reservation hours:
    • Monday to Thursday: 3 to 10 p.m.
    • Weekends: based on availability and staffing
  • If I have a weekend event, it will end by 10 p.m.
  • My request is being submitted at least seven days before the event date.
  • My event does not conflict with TGIF (Tell Grads It’s Friday), unless specifically approved by Barn staff.
  • I understand approval is contingent on available student staff coverage.

Food and Catering

  • If I need on-site catering, setup, service, food warming, equipment, or cleanup, I will use Cornell Dining/Cornell Catering.
  • If using an outside vendor, I understand food may only be delivered or dropped off and no outside vendor staff will remain on-site for setup, service, food handling, or cleanup.
  • I will be responsible for all details with food, including clean-up.

Marketing and Communication

  • I understand submission of a request does not guarantee approval.
  • I will not advertise or publicize my event until I receive formal approval from the Barn.
  • I am prepared to follow any additional instructions provided after approval.

Reservation Process

  • I have reviewed information on this website thoroughly.
  • I have submitted my request through 25Live.
  • I selected the correct Barn space in 25Live.
  • I understand organizations are responsible for completing the reservation process correctly.

Reminder: Priority is given to programs and events that serve Cornell graduate and professional students and contribute to a vibrant, welcoming community at the Big Red Barn.
